1. Who we are and where this applies
Nexus IT Services ("we," "us") is operated by Nexus IT Services LLC, 302 Allen St, Cadillac, Michigan 49601. You can reach us at support@nexusitservices.org, or by phone or text at (231) 884-7146.
This policy covers our website at nexusitservices.org, our client portal at help.nexusitservices.org, our help guides at kb.nexusitservices.org, our training site at learn.nexusitservices.org, and email you send to our support address. The IT services we provide to clients are covered by a separate service agreement. Information we handle as part of those services is treated as the client's information under that agreement.
2. Information we collect
Contact form. Your name, business name, email address, phone number, and the message you write.
Training in the client portal. If we assign you training in the portal, we record which lessons you finish, your practice and quiz scores, and when you complete a course.
Training results. Our training site saves your progress in your own browser, and we do not see it. If you choose to send us your result, we receive your name, business name, email address, and score.
Client portal accounts. Your name, email address, company, and role. Your password is stored only as a salted hash, so we cannot read it. We also record when you sign in and your IP address.
Support requests. Ticket subjects, messages, priority, status, and any files you attach, and the time we spend on a ticket. If you email our support address from an address registered in the portal, we read the message to create or update a ticket.
Text messages. If you text us, we receive your phone number and the content of your message, and your carrier may charge you for messages. We may keep a record of the conversation to help support you. We use texts only to respond to you and coordinate support, and we do not send marketing texts unless you have agreed to receive them.
Documentation we keep for clients. Lists of devices, licenses, vendors, and network layouts that help us support a client's systems. This is visible only to our staff.
Technical information. Your IP address, browser type, and pages requested, which our hosting and security providers record as part of normal operation, and the cookies described below.
Please do not send Social Security numbers, payment card numbers, or health information through our website, forms, text messages, or email unless we have agreed in writing how to protect it.
3. Cookies and similar technologies
We use only the cookies needed to run the site and portal:

We do not use advertising or analytics cookies. Our website, help guides, training site and portal load fonts from Google Fonts, which means your browser sends your IP address to Google when a page loads.
4. How we use information
We use information to answer your messages, provide and support IT services, run and secure our systems, send service emails such as ticket updates, bill for our work, keep records, and comply with the law. We do not sell personal information, and we do not share it for advertising.
5. Who we share it with
We share information only with service providers that help us run our business, and only as needed for that purpose. They currently include:
Cloudflare, which hosts our website, help guides, training site and portal, stores portal data, and protects them from attack.
Web3Forms, which delivers messages from our contact form, and training results you choose to send, to us.
Resend, which sends our ticket and account emails.
Apple iCloud, which provides our business email.
Payment and invoicing services we use to bill for our work.
We may also share information with our professional advisors, when the law requires, to protect our rights or the safety of others, or as part of a sale or transfer of our business. Ticket content is visible to the client's authorized users and to our staff.
6. How long we keep it

We delete or de-identify information when it is no longer needed, unless the law requires us to keep it.
7. Security
We use measures such as encrypted connections, hashed passwords, staff-only access to client documentation, access controls, and activity logging. No method of storing or sending information is completely secure, so we cannot guarantee absolute security. If a breach affects your information, we will notify you and others as the law requires.
8. Your choices
You can ask us to tell you what information we hold about you, correct it, or delete it by emailing support@nexusitservices.org. If your account belongs to one of our clients' employees, we may need to involve the client, because we hold that information on the client's behalf. You can turn off cookies in your browser, but the portal will not work without its sign-in cookie.
9. Children
Our website and services are for businesses. They are not directed to children, and we do not knowingly collect information from children under 13.
10. Other states' privacy laws
Some states give residents rights over their personal information, such as access, correction, and deletion. We do not sell personal information or share it for targeted advertising. You can make a request by contacting us at the address above.
11. Changes
We may update this policy. We will post the new version here with a new date, and if a change is significant we will tell portal users.
